We work with trusted third-party AI service providers to deliver our automation features. These relationships involve limited data sharing under strict contractual protections:

• OpenAI and Similar Providers: We may share resume content and job-related data with AI service providers to generate optimized content, but only under data processing agreements that prohibit unauthorized use
• Data Minimization: We only share the minimum amount of data necessary to provide the requested service
• Deletion Requirements: Third-party providers are required to delete your data according to our retention policies

However, we cannot guarantee third-party compliance with these agreements. By using our Service, you acknowledge that third-party AI providers may process your data subject to their own privacy policies and terms of service.

Breach Notification: In the event of a data breach affecting your personal data, we will notify you and relevant authorities as required by law within 72 hours of discovery.

We retain different categories of data for varying periods based on legal requirements and legitimate business needs:

• Account Information: Retained while account is active, deleted 30 days after account closure
• Resume and Application Data: Retained while account is active, deleted 90 days after account closure (to allow account recovery)
• Payment Records: Retained for 7 years to comply with UK tax law
• Usage Analytics: Anonymized and retained for 3 years
• Support Communications: Retained for 2 years after last interaction
• Legal Compliance Data: Retained as required by applicable law

Payment Processing: We use Stripe, a third-party payment processor, to handle all payment transactions. We do not store your full credit card information on our servers.

Outbound Emails: When using the Flow feature, we send job application emails on your behalf using a dedicated email address (e.g., yourname.1234@flow.resumine.com). These emails are sent through our email service provider, SendGrid, and may include your resume and cover letter as attachments.

Incoming Emails: Responses from employers to your Flow email address are received by our Service, stored in our database, and made available to you through the app. We also forward these emails to your registered email address.

Email Processing: We process the content of incoming emails to:

• Link responses to specific job applications
• Extract key information for notifications
• Improve our matching and recommendation algorithms (using anonymized data)

Email Retention: Sent and received emails are retained while your account is active and for 90 days after account closure.

Third-Party Provider: SendGrid has access to email content for delivery purposes. SendGrid's privacy policy is available at https://www.twilio.com/legal/privacy.

The Service uses automated decision-making and AI technologies including:

• Resume Optimization: AI analyzes your resume and suggests improvements
• Job Matching: Algorithms match your profile with job opportunities
• Application Automation: The Flow feature automatically submits applications

Significance: These automated processes may affect your job search outcomes and employment prospects. However, final decisions about job applications and employment are made by potential employers, not by our Service.
